BarVivant privacy policy
Last updated October 22, 2026.
BarVivant is a members only professional network for hospitality professionals aged 21 and over. BarVivant is operated by Ninth Vale Holdings LLC ("we", "us"). This policy explains what we keep, why, who can see it, who helps us run BarVivant, and the choices you have.
What we keep
- Your account: your name, email address, date of birth (to confirm you are 21 or older), and the invite you joined through, including who invited you. Your password is held by our sign in provider in a form nobody can read, us included.
- Sign in with Google: if you use it, Google shares your name, email address and Google account ID with us. We ask Google for nothing else.
- Requesting an invite: your name, email address, date of birth, and anything you choose to add, such as your role, workplace, city, Instagram and a message.
- Keeping sign ups safe: a scrambled version of your network address and a random ID your browser keeps, used only to limit repeated sign up attempts.
- Your profile: what you choose to add, such as your photo, roles, city, workplaces, specialties, credentials and badges. Your BarVivant handle is made from your name.
- What you share and do: posts, comments, messages, event RSVPs and invitations, your working status and shift times, connections, saved items, courses you take with your progress, streaks and badges, document requests, files you upload, and reports you send.
- What you view: when you open an event, organization or course page, we note that you viewed it, linked to your account, to show view counts and keep BarVivant working.
- Your settings: your privacy choices and which notifications and emails you want.
Verification and credentials
Documents you upload to verify your work (such as a pay stub) and certificate files for credentials are reviewed and then permanently deleted. We keep only the outcome and the date.
Your location
When you tap a button to use your location (for example to find your city or see distances to events), your device shares its location with BarVivant in your browser only, to pick the nearest city or show distances. We do not save it. When you search for a city, venue or address, the words you type are sent from our server to Google to suggest places.
Who can see it
- Members see what you choose to show. Your privacy settings decide who sees your activity, availability and profile in search.
- Your date of birth stays private. Your Industry Pass shows only that you are 21 or older.
- Direct messages are visible only to the people in them.
- Organizations on BarVivant see their own private spaces (workrooms, workspaces, files and records). One organization never sees another's.
- People outside BarVivant invited to a workspace or a client workroom see only what they were given access to.
- BarVivant's admin can see what is needed to run and protect the network, such as membership details, approvals, verification outcomes and reports.
- We never sell information that identifies you.
Anonymous insights
We may combine information from across BarVivant so that it can no longer identify any person or organization, grouped across enough members that nobody can be singled out. We may share or sell these anonymous insights, for example to brands for market research.
These insights never include names, messages, files, or anything from client workrooms or the agency workspace.
Client workrooms
An organization can run private workrooms for its clients and invite people into them, including people outside BarVivant. For someone outside BarVivant we keep only the name they were invited under and, if given, an email address.
- Each client workroom is private to the organization's owner and the people invited to it. Access to one client never opens another.
- File requests, files, messages, receipts and calendars in a workroom are seen only by the people with access to that part of it. Direct messages there are visible only to the people in them.
- Receipts, hours worked and deal terms are kept only to run that client relationship. They are never used for anything else, including advertising, analytics, product research or any future anonymous market research data.
Agency workspace and Telegram connection
Some organizations can turn on a private agency workspace with a Telegram connection. BarVivant switches it on for each organization; it is off unless switched on.
- It only runs on chats an organization links or sends itself. The organization's own bot saves direct messages only from the organization owner's own Telegram account. A group chat is saved only after someone in that organization links it with a one time code; when it is linked, the bot posts in the chat that the chat is being saved, and when it is unlinked, the bot posts that saving stopped. Nothing from an unlinked chat is saved, and nothing after unlinking is saved.
- What is saved: the messages, photos, files and voice notes in those chats, with each sender's name, the time it was sent and the time it was received. Items the organization sends from its own notes tool are saved the same way.
- Who can see it: a note the owner sends with no tag is private to the owner. A note marked for the team is shared with the people the owner chose. A note marked for a client goes to that client's workroom. Group chats are seen by the people the owner chose, or by that client's workroom when the chat belongs to a client.
- Voice notes are kept as audio. If the organization transcribes them, it does so on its own computer; the audio is not sent to an outside transcription service.
- How it is kept: records are never edited or deleted by the bot or the app. The owner can hide a record and can export the records with their times and senders.
- What it is used for: only for showing those records to the people with access. It is never used for anything else, including advertising, analytics, product research or any future anonymous market research data.
If you are in a group chat that an organization links, you will see the bot's notice in the chat. Ask the organization to unlink the chat if you do not want messages saved.
Who helps us run BarVivant
We use a small number of service providers, only for the jobs listed here:
- Supabase: our database, sign in and file storage.
- Google Firebase Hosting: serves the BarVivant website and app.
- Resend: sends BarVivant's emails, such as sign in links, invites and the notifications you choose.
- Cloudmersive: checks every uploaded file for viruses before anyone else can open it. Cloudmersive states that its scanning does not store or keep the files it checks once each scan is done. Infected files are deleted.
- Google: suggests places when you search for a city, venue or address; handles Sign in with Google if you use it; and provides the font on the Google button.
- Telegram: only for organizations that turn on the agency workspace, as described above.
- YouTube: course videos play from YouTube, which may use its own cookies when you play a video.
Cookies and your browser
BarVivant does not use advertising or tracking cookies. Your browser keeps your sign in and a few preferences (such as your last open Space) so the app works.
Emails
We email you about your account (such as sign in links, invites and password resets) and about the things you choose in Settings, Notifications. We never send marketing email. Notification emails only say what kind of thing is waiting, never names, file contents or document details.
How long we keep it
- We keep your account while you are a member. When you leave, we delete or anonymize your information unless we must keep it for legal or safety reasons. Messages you sent in shared spaces, group chats and workrooms, and an organization's own records, may stay visible to the people and organizations involved.
- Verification documents and credential files are deleted after review. Files that fail the virus check are deleted at once.
- If you try Sign in with Google without an invite, the sign in account Google created is deleted right away and nothing else is kept.
- Organizations keep their own records until they remove them.
Keeping it safe
We use reasonable safeguards to protect your information, such as private file storage, access rules on every record and a virus check on every upload. No system is perfectly secure, so we can't promise that nothing will ever go wrong.
Your choices
- Change your privacy settings at any time.
- Choose which emails you get in Settings, Notifications.
- Download a copy of your information with Export my data, on the page where you edit your profile.
- Leave BarVivant and ask us to delete your account.
Do Not Track
BarVivant doesn't track you across other sites, so it doesn't respond differently to Do Not Track signals.
Changes to this policy
When we change this policy, the date at the top changes. For important changes, we tell members by email or in the app before they take effect.
